Before day one

Have it ready before they arrive.

Most of a great first day happens in the week before it. Assign an owner to each of these.

  • Offer signed and contingencies cleared

Background check (if any) complete, start date confirmed in writing.

    1 to 2 weeks
  • Paperwork sent ahead

Federal and state tax forms, direct deposit, and I-9 instructions, including the list of acceptable documents.

    1 week
  • Equipment and accounts ready

Laptop shipped or set up, email, chat, and core tools working, with logins tested.

    3 days
  • A buddy assigned

A peer (not their manager) they can ask anything. Introduce them by email before day one.

    3 days
  • First week scheduled

Calendar invites for welcome, team meetings, 1:1s, and key introductions. No empty first day.

    2 days
  • Team told they're coming

A short announcement with their name, role, start date, and something interesting about them.

    2 days

Rule of thumb: if a task doesn't have a named owner and a date, it won't happen. The template assigns both for every item.

The 30/60/90 plan

Learn. Contribute. Own.

Three phases, each with clear goals and a check-in at the end. Agree on it together in week one.

1
Days 1 to 30

Learn

Understand the business, the team, the tools, and how decisions get made. Meet key partners. Complete required training.

2
Days 31 to 60

Contribute

Take on real work with support. Deliver a first meaningful project. Start giving input, not just taking it.

3
Days 61 to 90

Own

Run their core responsibilities independently. Set goals for the next quarter with their manager.

4
Day 90

Review

A structured conversation: what's gone well, what to focus on next, and any adjustments to the role or support.

+

Check in at 30, 60, and 90 days

Put all three on the calendar in week one. Each is a two-way conversation: how the new hire is doing, and how the company is doing for them.
